The documents governing your use of LedgerSwiftly. Last updated: 15 September 2026.

Terms & Conditions

These terms govern your use of the LedgerSwiftly website and application. LedgerSwiftly is a tool for record-keeping, invoicing and quoting; it is not an accounting, tax or legal service. We do not file taxes, provide advice, or act as a party to any transaction.

1. Nature of the Service

LedgerSwiftly is an administrative tool designed to help you organise receipts, expenses, revenues, tax amounts, and to generate invoices and quotes. It is not an accounting firm, tax advisory service, legal service, or tax filing platform. We are only a system that facilitates these services. We do not file taxes on your behalf and we do not provide tax, legal or accounting advice.

2. Not a Substitute for a Professional

The reports and summaries generated by LedgerSwiftly are for your internal administration and to share with a qualified accountant or tax professional. You or your accountant remain solely responsible for any filings, calculations, or submissions made to tax authorities. Always have a qualified professional review figures before submitting anything.

3. AI Scanning Accuracy

AI receipt scanning is a convenience feature and may make mistakes. Extracted data (amounts, dates, tax, vendor names) should always be verified by you before saving. LedgerSwiftly is not liable for errors arising from AI-extracted data that has not been reviewed.

4. Invoicing & Quoting

LedgerSwiftly allows you to generate invoice and quote documents for your clients. We are only a system that facilitates the creation of these documents. We are not a party to any agreement between you and your client, we do not guarantee payment, and we do not warrant the legal validity or enforceability of any document. You are solely responsible for the accuracy, legality and completeness of all invoices and quotes you produce and send.

5. Your Data & Privacy

Records you add belong to your workspace. Team members you approve via your workspace join code can view and add records based on your plan. You are responsible for the accuracy of the data you enter, for keeping your join code secure, and for ensuring you have the right to store any receipts or documents you upload. Business details you provide (company name, address, company number, tax number, logo, bank details) are used solely to populate your documents and reports.

6. Subscription Payments, Cancellation & Refunds

Subscription payments are processed by PayPal under their own terms. You may cancel at any time; access continues until the end of the current billing period. Plan limits (expense caps, feature access) may change with your tier. If you wish to discuss a refund or have a billing concern, contact billing@ledgerswiftly.com. Each request is reviewed on its merits in accordance with applicable consumer protection laws. Your statutory rights are not affected by these terms. Opening a PayPal dispute, chargeback, or bank reversal for a charge you legitimately authorised, without first contacting us at billing@ledgerswiftly.com, may result in account suspension or termination, loss of access to your workspace and all data, and liability for the disputed amount plus any fees incurred.

7. Online Invoice Payments (PayPal)

If you connect your own PayPal account, LedgerSwiftly facilitates online payment of your invoices by your clients through PayPal's payment gateway. PayPal is a third-party service; all payment processing, card handling, fraud checks, disputes, chargebacks, and refunds are governed by PayPal's own terms and policies, not ours. LedgerSwiftly does not store, see, or handle your clients' card or bank details at any point. All payment data stays on PayPal's servers. We receive only a webhook notification from PayPal confirming a payment was completed, which we use to mark the invoice as paid. LedgerSwiftly is a facilitator only and is not a party to any PayPal transaction between you and your client. We are not liable for PayPal-side delays, failures, errors, frozen accounts, held funds, reversed transactions, or any dispute arising from a PayPal payment. You are solely responsible for your own tax and VAT reporting on payments received through PayPal. If a payment does not appear in LedgerSwiftly, you can mark it manually or wait for the daily reconciliation check.

8. Acceptable Use

You agree not to use LedgerSwiftly for any unlawful purpose, to store false or misleading records, or to attempt to disrupt the service. You also agree not to access or attempt to access data that does not belong to your workspace, not to use automated tools to scrape or overload the service, and not to introduce viruses or other harmful material. We may suspend or terminate accounts that violate these terms.

9. User Accounts & Security

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You agree to notify us immediately of any unauthorised use of your account or any other security breach. We are not liable for any loss or damage arising from your failure to protect your login credentials. You must provide accurate and complete information when creating your account and keep it up to date. You must be at least 18 years old to create an account.

10. Website Use

This website is provided for information about LedgerSwiftly and to direct you to the application. You agree to use it lawfully and not to misuse, attempt to gain unauthorised access to, disrupt, or introduce harmful material to the site. We may withdraw or amend content at any time without notice. The website does not process payments or store your financial records; all account activity takes place within the application.

11. Public Links

Invoices and quotes can be shared with your clients via public viewing links. Anyone with the link can view the document. You are responsible for sharing links only with the intended recipient. Links can be revoked at any time using the 'Revoke link' button on the document, by deleting the document, or by contacting us.

12. Third-Party Links

This website and application contain links to external services that we do not control, including PayPal and our AI provider. We are not responsible for the content, availability or practices of any third-party site or service, and your use of them is at your own risk.

13. Referral Program

LedgerSwiftly may offer a referral program allowing you to earn rewards when invited contacts subscribe. Referral rewards are subject to the program terms displayed on the Referral page. We reserve the right to modify or discontinue the referral program at any time. Referral rewards have no cash value unless explicitly stated.

14. Two-Factor Authentication

Where available, we strongly encourage enabling two-factor authentication (TOTP) on your account. You are responsible for keeping your authenticator device and backup codes safe. We are not liable for account access issues arising from lost authenticator devices.

15. Limitation of Liability

LedgerSwiftly is provided "as is" without warranties of any kind. We are only a system that facilitates record-keeping, invoicing, quoting, and online payment links. To the maximum extent permitted by law, we are not liable for any losses arising from the use of, or inability to use, the service, including lost data, incorrect reports, disputed or unpaid invoices, invalid quotes, business interruption, or any PayPal transaction failure, held funds, reversed payment, chargeback, or dispute. Any agreement you make with a client, including any payment arrangement, is strictly between you and that client. We do not hold, touch, or transfer any client money.

16. Service Availability & Continuity

We strive to keep LedgerSwiftly available but do not guarantee uninterrupted access. The service may be temporarily unavailable due to maintenance, updates, or factors outside our control. We may also permanently discontinue, suspend, or cease operating LedgerSwiftly at any time, in whole or in part, including if the business closes. We are not liable for any losses arising from service downtime, permanent discontinuation, or the permanent inaccessibility of your data. You are responsible for maintaining your own independent copies of any records, receipts, invoices, quotes, or reports you rely on for tax, accounting, or legal purposes. We strongly recommend regularly exporting your data using the in-app export tools.

17. Intellectual Property

All software, design, branding, website design, copy, and content within LedgerSwiftly are our property or used under licence. You may not copy, modify, distribute, reproduce, republish, or reverse engineer any part of the platform or this website without our prior written consent. Your data remains yours; we process it only to provide the service as described in our Privacy Policy.

18. Force Majeure

We are not liable for any failure or delay in providing the service caused by events outside our reasonable control, including natural disasters, strikes, internet outages, provider failures, or government actions.

19. Account Suspension & Termination

We may suspend or terminate your account at any time if you breach these terms, fail to pay subscription fees, or engage in conduct that we determine may harm the service or other users. We may also close accounts after an extended period of inactivity. Upon termination, your right to access the service ends immediately. We may retain your data for a reasonable period after termination as required by law or for legitimate business purposes, after which it may be permanently deleted. You should export any data you need before terminating your account, as we are not liable for any loss of data resulting from account suspension or termination. You remain responsible for any fees owed up to the date of termination.

20. Indemnification

You agree to indemnify and hold LedgerSwiftly harmless from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the service, your breach of these terms, your infringement of any third-party rights, or any content or data you submit to the service.

21. Severability

If any provision of these terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.

22. Entire Agreement

These terms, together with our Privacy Policy, constitute the entire agreement between you and LedgerSwiftly regarding the use of the service, and supersede any prior agreements or understandings.

23. No Waiver

Our failure to enforce any right or provision in these terms at any time is not a waiver of that right. If we do not enforce a term on one occasion, we can still enforce it on another.

24. Assignment

You may not assign, transfer, or sublicense your account or these terms to another party without our prior written consent. We may assign or transfer these terms, and any rights under them, to a successor or acquirer of our business without restriction.

25. Governing Law

These terms are governed by the laws of Jersey. Any dispute relating to these terms or your use of LedgerSwiftly or this website shall be subject to the exclusive jurisdiction of the Jersey courts, except where consumer protection laws in your country of residence require otherwise.

26. Changes to These Terms

We may update these terms from time to time. Continued use of LedgerSwiftly or this website after changes are posted constitutes acceptance of the updated terms.
